Built around the outcome, not the buzzword

Not every process needs artificial intelligence — a lot of costly manual work is simply repetitive, rule-based and well-defined: copying data between systems, matching invoices to purchase orders, extracting fields from PDFs. We start by mapping the process step by step, including the exceptions people currently handle by judgement, because a bot that only covers the happy path creates more manual cleanup than it saves.

Bots are built to interact with existing systems the way a person does — through the UI, an API where one exists, or a combination of both — using tools like UiPath, Power Automate or n8n depending on the environment, existing licensing and the team's ability to maintain the automation afterward. Document-heavy processes add OCR and document-AI extraction to turn scanned invoices or forms into structured data reliably.

Exceptions are designed in from the start, not discovered in production. Anything a bot cannot confidently resolve — an unrecognised format, a mismatched amount, a missing field — is routed to a person for review rather than guessed at or silently skipped, with full logging so every automated action can be traced and audited later.

For systems with no usable API — an older ERP, a supplier portal, an internal legacy tool — automation at the interface level lets us connect processes that would otherwise require a costly system replacement or a slow, error-prone manual bridge. We monitor bots in production and adjust them as source systems change, since a bot tied to a specific screen layout breaks the moment that layout does.

How is this different from your AI & Machine Learning or OpenClaw services?

RPA automates deterministic, rule-based work — the process follows the same steps every time, so a bot can be scripted to follow them exactly. AI & Machine Learning handles judgement-based or generative tasks where the right output varies. OpenClaw deploys a conversational assistant that reasons about requests. Many processes combine RPA for the mechanical steps with AI for the parts that need interpretation.

What kinds of processes are actually good candidates for RPA?

High-volume, repetitive, rule-based tasks with structured or semi-structured inputs — invoice matching, data migration between systems, report generation, form processing. If the steps change based on judgement rather than a fixed set of rules, it's usually a poor fit for RPA alone and needs an AI or human-in-the-loop component instead.

What happens when the bot hits something it doesn't recognise?

It stops and routes the case to a person rather than guessing. We design exception paths for every bot up front — unexpected formats, missing data, mismatched values — with clear logging, so a person can resolve the edge case and, over time, we can decide whether it's worth expanding the automation to cover it.

Can you automate a system that has no API, like an old desktop application?

Yes — that's a common reason clients come to us. We automate at the interface level, interacting with the application the way a user would, when a proper API integration isn't available or would require a rebuild the client isn't ready to fund.

How much maintenance do these bots need once deployed?

Some — bots interacting with a UI break when that UI changes, so we build monitoring that flags failures quickly and agree an ongoing support arrangement for updates. Bots built against stable APIs need less upkeep. We're upfront about this tradeoff when recommending an approach.
